How Admins Pull and Manage Client Lists in OneShop

Learn how administrators can pull customer lists across the entire company, assign clients to team members, and manage duplicate profiles using the CRM Clients page in OneShop.

πŸ“‹ Step-by-Step Guide to Pulling and Managing Client Lists

1. Navigate to the Full Client List

As an admin, you can access all clients across your company.

To do this:

  1. Go to CRM in the left-hand menu

  2. Click Clients

The Client Filter will automatically appear.

If it does not open automatically, click Search Clients in the top right corner.


2. Filter the Client List

Use the Client Filter to select the list of customers you want.

Examples include filtering by:

  • Purchase history

  • Store location

  • Brands purchased

  • Total spending

  • Loyalty points

  • Tags

  • Last contact date

After selecting your filters:

  1. Click Confirm

  2. OneShop will generate the list.

The results will appear sorted by highest total spend first.


3. View Client Profiles

You can click on any customer to open their full profile.

Inside the profile, you can view:

  • Purchase history

  • Contact details

  • Loyalty information

  • Messaging history

This allows you to quickly review a customer before contacting them.


4. Assign Clients to Team Members

Admins can assign clients to sales associates.

To do this:

  1. Select the checkbox next to one or more clients.

  2. Click Assign.

  3. Choose the team member(s) you want to assign.

This helps distribute customer relationships across your team.


5. Assign an Entire List at Once

If you want to assign all clients in a filtered list:

  1. Click Assign All

  2. Choose the associate(s)

You will then choose one of two options:

Replace Existing Users

  • The selected associate becomes the only person assigned to those clients.

Add to Existing Users

  • The associate is added alongside the current assigned users.


6. Use Round Robin Assignment

If you want to distribute clients evenly across your team:

  1. Select multiple associates

  2. Choose Round Robin

OneShop will automatically distribute clients evenly.

Example:

If you select Joe and Claudia, clients will be assigned like this:

  • Client 1 β†’ Joe

  • Client 2 β†’ Claudia

  • Client 3 β†’ Joe

  • Client 4 β†’ Claudia

This continues until all clients are assigned.

You can still choose whether to:

  • Replace existing assignments, or

  • Add to current assignments


7. Merge Duplicate Client Profiles

Sometimes duplicate customer profiles exist.

To merge duplicates:

  1. Select two client profiles

  2. Click Merge

Important notes:

  • The first profile selected becomes the main profile

  • The second profile will be merged into it

  • You can only merge two profiles at a time

If multiple duplicates exist, repeat the merge process.
